Ready for your next big ride? As Executive Assistant to the CEO at woom, you are a trusted partner at the heart of the business. You operate as the first point of contact for the CEO, a firm gatekeeper, and a highly reliable execution partner who brings structure, clarity, and momentum to a fast-moving environment.
This is a senior Executive Assistant role with significant autonomy and exposure to investors, the Advisory Board, and the management team. You combine operational excellence with sound judgment, discretion, and a proactive mindset.
Your Mission
CEO Office & Gatekeeping
- Serve as the first point of contact for all inbound CEO communication, including emails, invitations, complaints, and correspondence
- Screen, prioritize, and respond independently where appropriate; advise the CEO on messaging and required actions
- Act as a strong gatekeeper, protecting the CEO's time and focus by making clear, confident prioritization decisions
Executive Operations & Planning
- Own complex calendar management, travel logistics, and meeting coordination with precision and foresight
- Anticipate scheduling conflicts and proactively resolve them
- Prepare agendas, briefing materials, and follow-ups for key internal and external meetings
Investor & Advisory Board Relations
- Act as the Lead Orchestrator for investor communications, ensuring timely and accurate information flow
- Manage and strictly adhere to the Advisory Board communication and meeting schedule
- Actively support investor relations activities and own shareholder hospitality, ensuring a professional and seamless experience
Executive Communication & Output Quality
- Draft, edit, and structure high-level correspondence, presentations, and reports on behalf of the CEO
- Ensure all CEO-outbound materials meet the highest standards of clarity, accuracy, and professionalism
Your Profile
- Minimum 3+ years of experience in a demanding Executive Assistant role, ideally supporting C-level executives in a fast-paced or high-pressure environment
- Comfortable making independent decisions within your remit and exercising sound judgment on behalf of the CEO
- Exceptional discretion and loyalty, with proven experience handling sensitive and confidential information
- Clear, concise, and confident communicator with senior stakeholders, investors, and internal teams
- Calm, poised, and solution-oriented under pressure, even when timelines are tight
- Business-fluent in English (spoken and written); German proficiency is a strong advantage
