We are looking for a highly motivated and versatile Assistant to the Director to support a wide range of internal and external tasks in our Vienna office. Position Responsibilities

This role involves assisting with a wide array of tasks essential to the smooth operation of the company. Key responsibilities include:

  • Assist with day-to-day executive duties, ongoing projects, and ad hoc assignments
  • Schedule and coordinate meetings, events, and business/private travel
  • Serve as the main point of contact for international partners and offices
  • Conduct research, compile analyses, and prepare documentation to support diverse activities
  • Manage and report on monthly expenses and handle basic bookkeeping
  • Oversee property management and ensure general office maintenance
  • Provide coordination support on personal matters as needed

Essential qualifications

We are seeking a well-organized, resourceful professional with strong communication and project management skills. The ideal candidate will be comfortable in a high-expectation environment and able to adapt quickly to shifting priorities.

  • Fluency in Russian; professional proficiency in English and German, Spanish/Italian being advantageous
  • Minimum of one year of relevant experience (executive assistant, project coordination, or hospitality roles)
  • Valid European driver's license and at least one year of driving experience in Europe
  • High level of discretion and confidentiality
  • Strong attention to detail and ability to manage multiple tasks and deadlines
  • Capacity to absorb and synthesize large volumes of information from varied sources
  • Self-motivated with a proactive, solutions-oriented approach
  • High proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
  • Availability to be reachable outside regular working hours (24/7 responsiveness when needed)
  • Must have a valid Austrian work permit ("freier Zugang zum Arbeitsmarkt")

Gehalt

Das Mindestgehalt liegt bei 2.800 EUR brutto pro Monat (auf 38,5 Stunden Basis), das tatsächliche Gehalt ist abhängig von Qualifikation und Erfahrung. Das Gehalt wird 14-mal jährlich ausbezahlt.

Überstunden

Es handelt sich um ein All-In-Gehalt, in dem anfallende Überstunden bereits enthalten sind.
