We are an innovative medical device startup in the field of cardiac surgery, developing a novel vein harvesting system to improve outcomes in coronary artery bypass grafting (CABG). Following successful proof-of-concept phases, we are now entering a demanding and exciting phase: preparing for regulatory certification, transferring our design into manufacturing, and scaling our operations.
Located in western Vienna with outstanding public transport connections via the U4 line, we provide a hands-on, collaborative environment where quality, regulatory, engineering, and management work closely together to bring life-saving technology to patients.

The Role

As a Business Operations Associate, you will work closely with the CEO to ensure that day-to-day operations run smoothly and that a wide range of operative and one-off tasks are executed reliably.
This is a highly generalist role. You will not be hired for a narrow skill set, but for your ability to think clearly, structure problems, and execute independently. Some tasks will be recurring; others will be new and ambiguous. Your job is to figure things out, move them forward, and reduce operational load on management.
The role is part-time by design (20–25 hours per week) and well suited to experienced professionals seeking flexibility, including parents returning to work or individuals transitioning from consulting or fast-paced roles.

What You Will Do

Your responsibilities will vary, but typically include:

  • Preparing, structuring, and following up on management topics (e.g. agendas, action tracking, summaries)
  • Coordinating internal and external stakeholders such as suppliers, partners, and advisors
  • Researching topics, synthesizing information, and preparing decision-ready outputs
  • Supporting and improving operational workflows (e.g. tools, processes, logistics, documentation)
  • Keeping projects and one-off initiatives moving forward across teams
  • Identifying inefficiencies and proposing pragmatic improvements

You will be given context and objectives — not step-by-step instructions.

Who This Role Is For

This role is ideal for someone who:

  • Has 5+ years of professional experience (e.g. consulting, operations, startups, project coordination, or similar)
  • Learns new topics quickly and enjoys solving unfamiliar problems
  • Is highly organized, reliable, and comfortable taking responsibility
  • Communicates clearly and concisely, especially in writing
  • Can work independently and manage priorities in a part-time setting
  • Values flexibility, trust, and impact over titles or hierarchy
  • Is fluent in both German and English (written and spoken)

Experience in healthcare or medical devices is a nice to have but not required.

Salary

The actual minimum salary is 5,000 € gross per month (on a 40-hour basis), the actual salary depends on your qualifications and experience. The salary is paid 14 times per year.
