Your responsibilities

The ISTA Grant Office supports applications for and management of research projects funded by public and private funding bodies. As part of a dedicated and growing Pre-Award team, you will advise and support scientists in identifying and acquiring third-party research funding. We work closely with researchers across disciplines, helping them translate scientific ideas into competitive proposals while navigating an international and rapidly evolving funding landscape. Your responsibilities will include:

  • Identifying potential funding sources (e.g., EU framework programmes, state agencies, foundations) and subsequent internal promotion (e.g., workshops, alerts, direct consultation with applicants)
  • Working closely with faculty and scientists to transform ideas into competitive grant proposals, including project development and grant writing/editing support
  • Providing funder policy guidance, strategic advice, and practical support in all aspects of proposal development, including administrative forms, budget calculations and other necessary documentation
  • Administration and/or management of internal grants-related projects; maintenance of data and statistics related to third-party funds for reports and external communication
  • Serving as a communication interface to funding agencies, as well as coordinating internal units (e.g., finance, HR, ethics, technology transfer) on grant-related matters
  • Contributing to the continuous improvement of grant support processes and tools

Your profile

  • Higher academic education (ideally PhD in an ISTA-relevant field), research experience and/or grant office or funding agency experience - please describe your specific experience and motivation for the position in your application letter
  • Very good understanding of topics and concepts related to science and research funding
  • Excellent command of written and spoken English (main working language); proficiency in German is an advantage
  • Ability to work independently, with high attention to detail, including under time pressure on multiple concurrent projects
  • Strong analytical and evaluative skills, proven project management skills; interest in AI-supported workflows, digital tools and process improvement is an advantage
  • Professional, positive communication style and high service-orientation
