Your mission

Join our Governance & Community Management team and take on a particularly rewarding part of UEG’s work: enabling Opportunities – fellowships, grants and awards – that directly support medical professionals across Europe. This is a hands-on, administratively-focused role within an inspiring, international and intercultural environment.
In this role, you will coordinate the administrative process for UEG’s fellowship, grant and award programmes, working closely with our Community Manager, while flexibly supporting a variety of governance and community projects across the team. You will also be a key point of contact for applicants and volunteers, so a proactive, service-oriented approach to communication is important. The role is admin-heavy at its core, and you will be given increasing autonomy as you grow into it. If you enjoy structured, detail-driven work, bring a pragmatic, hands-on mentality, and are excited about engaging with an international scientific and medical community, we would love to hear from you.

Responsibilities

  • Coordinate the administrative process for fellowships, grants and awards, working closely with our Community Manager.

  • Act as a responsive point of contact for applicants and volunteers on Opportunities-related enquiries.

  • Support committee management of the Young Talent Group, working closely with the Project Manager – including meeting organisation, minute-taking and administrative coordination of designated projects.

  • Support the Equality & Diversity Group’s Project Manager with administrative tasks.

  • Contribute to community management tasks during our annual congressUEG Week and other events.

  • Provide flexible support on a variety of smaller Governance and Community Management tasks across the team.

Your profile

Hard Skills

  • 1–2 years of relevant work experience.

  • Excellent written and spoken English, with strong correspondence writing skills; German skills are an asset.

  • Proficiency in Microsoft Office and other digital collaboration tools.

  • Openness to and interest in AI tools and process automation – proficiency is not required, willingness to learn is.

  • Event organisation skills are welcome.

  • Experience in a service-oriented, enquiry-handling environment is a plus.

Soft Skills

  • Structured, process-oriented and detail-focused working style.

  • Pragmatic, hands-on mentality, comfortable with administratively-heavy work.

  • Efficient, solution-oriented handling of a high volume and variety of parallel tasks.

  • Reliable, professional and a collaborative team player.

Salary

A salary above the minimum stipulated by the Collective Agreement for "Werbung und Marktkommunikation Wien", starting at EUR 38,500 gross per year based on a 37.5-hour working week. The final salary will be agreed upon depending on qualifications and experience.
