Join the U.S. Embassy in Austria’s Facility Section as a:
Service Operations Coordinator

Duties and Responsibilities:

The incumbent serves as a key advisor and coordinator for unscheduled and scheduled work assignments, building accessibility, and security requirements, supporting locally employed staff and contractors under the direction of the Facilities Manager and/or Program Analyst. Regular responsibilities include updating the maintenance management system (GMMS) data, generating reports, and providing guidance to users on system navigation and data entry. The incumbent assists with scheduling staff and contractors to align with operational priorities, ensuring resources are strategically allocated based on skill sets and project timelines. They actively monitor staffing levels to identify gaps and recommend adjustments to maintain efficiency and continuity. Additionally, the incumbent serves as the section timekeeper, managing Time and Attendance (T&A) duties to ensure accurate tracking and reporting of work hours, leave, and overtime for Facility Management Office (FAC) staff.

  • Incumbent must demonstrate exceptional stress resilience and a strong commitment to customer service, consistently maintaining composure, professionalism, and a solutions-oriented approach, even in high-pressure or challenging situations. Must have good organizational skills. Ability to get along with others and working as part of a team. Able to follow directions. Willing to learn and accept responsibility.

  • Good working knowledge in English and German
