The Role

We are looking for a highly organized, tech-comfortable, proactive professional who wants to work directly with the Founders and play a key role in keeping the organization running smoothly. You will operate at the intersection of leadership, operations, communication, and execution.

This is a 25h/week position, primarily remote, with flexible scheduling. Occasional in-person meetings in Vienna are required. We are seeking someone who takes ownership and thrives in an environment where priorities can shift.

Responsibilities

  • Manage and optimize the CEO’s schedule and priorities
  • Act as a communication hub between leadership, partners, and team members
  • Coordinate speaking engagements, travel, interviews and public appearances
  • Support recruitment and onboarding processes
  • Help improve internal workflows, documentation and onboarding processes
  • Communicate with international partners, freelancers and tax advisors
  • Perform ad hoc administrative tasks
  • Proactively identify inefficiencies and improve processes

This role gives you direct exposure to:

  • Founder-level decision making
  • Brand growth strategy
  • International tech partnerships
  • Scaling digital operations

Your Profile

You have at least 2+ years of professional work experience, ideally in an assistant, coordination, or operational role - though the exact title is less important than your mindset.

You:

  • Are highly organized and structured by nature
  • Learn new tools and processes quickly
  • Thrive in a dynamic environment where priorities can shift
  • Work independently and take ownership
  • Communicate clearly and professionally (English & German required)
  • Are comfortable with digital tools (Google Workspace, Asana, Notion, etc.)
  • Value flexibility but remain reliable and accessible

This role is ideal for someone who enjoys being the organizational backbone of a company and prefers meaningful responsibility over rigid corporate structures.

Salary

The actual minimum salary is 27,900 € gross per year (on a 38.5-hour basis), the actual salary depends on your qualifications and experience. The salary is paid 14 times per year.
