Your responsibilities

The Communications Team at ISTA strives to become a pioneer in institutional science communication. Through the external and internal channels, it tells inspiring stories of scientists and their research to various target audiences, and increases the visibility of ISTA around the globe. Developing a state-of-the-art portfolio of channels and formats requires not only creative and technical abilities, but also robust organizational and administrative skills. To deliver on multiple large-scale projects and keep the day-to-day operations running, you will support the communications team leads in the following areas:

• Scheduling and coordination with internal and external stakeholders: from shoots with star photographers to project meetings with international agencies
• Efficient and smooth office operations: upkeep of meeting rooms and troubleshooting
• Proofreading of various outreach materials in English and German
• Meeting preparations, protocolling, archiving, and general documentation
• Support with internal workflow: offers, orders, invoices, reimbursements, and preparing monthly budget overviews
• Travel arrangements
• Compiling reports and summaries
• Database maintenance

Your profile

• Completed education in any relevant field
• Excellent written and verbal command of German and English
• Affinity towards media, public relations, marketing, and multimedia
• Digital literacy including strong office computer skills
• Procurement know-how advantageous
• Strong team player with excellent administrative and organizational skills
• Proactive, solution-oriented attitude
• Accurate and reliable working style with strong attention to detail
• High degree of hands-on mentality and service orientation
• Open, inclusive, and sensitive communication
