Executive Assistant to Head of Division (w/m/d)

Group Board Support and Corporate Affairs" comprises three units (Group Board Support, Group Governmental Affairs and Corporate Archives) and is the direct content support unit for the Management Board of both Erste Group and Erste Bank Oesterreich. In addition it coordinates and aligns strategies, content and public stakeholder management across Erste Group in our region and in Brussels.

Your tasks

  • Provide full administrative and business support to the respective B-1 manager
  • Responsible for the entire office management
  • Coordinate internal as well as external meetings and schedules of your superior
  • Contact with authorities and/or public institutions such as ministries, etc.
  • Support the superior in researching and collecting relevant information and data related to business, provide drafts of documents
  • Provide content-related assistance to the manager in governmental affairs topics
  • Manage the business travel organization for your superior
  • Manage incoming and outgoing emails of your superior
  • Responsible for controlling, tracking and reporting of unit costs and invoices
  • IT Coordinator role for the respective business area
  • Help integration of new employees by providing necessary information
  • Act as a contact person for all internal and external communications relating to the department

Your background

  • Minimum of 3 years work experience in a similar support/administrative function
  • Experience in dealing with authorities and/or public institutions such as ministries, etc. would be beneficial
  • Team player and are willing to take responsibility and initiative
  • Excellent organizational and time management skills as well as good writing and communication skills
  • Advanced Microsoft Office skills
  • Loyal and discrete
  • Excellent German and English knowledge (verbal and written), CEE languages are an advantage
