Administrative Support Specialist

SIBUR International is growing now at a rapid pace, and we are in search of candidates for the position of Administrative Support Specialist (40 hours a week), who will take up responsibility for the following tasks:

  • Project / internal initiative management of enterprise functions;
  • Implementation of the set of measures to comply with the corporate brand book;
  • Preparation, control of implementation and adjustment of event programs and programs of stay for high-ranking guests, including government and foreign delegations;
  • Provision of representation services: arrangement of meetings at various levels, protocol preparation of premises;
  • Business travel consultation;
  • Arrangement of corporate events (including, but not limited to the reception of official delegations, customers, arrangement of corporate mass events);
  • Making arrangements for participation in conferences and exhibitions;
  • Provision of visa services for employees and customers, issuance of invitations to foreign partners;
  • Organization and support of contractual document flow processes;
  • Receipt, registration of applications for translation services, arrangement of translation services and certification of documents with a stamp of a translation bureau;
  • Budgeting (as part of annual business planning), plan-factor cost analysis (quarterly);
  • Implementation of a set of measures for the centralized procurement of branded / souvenir products for the needs of the enterprise;
  • Arrangement of customer / partner congratulations;
  • Active participation and representation of interests of the function in the implementation of cross-functional projects and initiatives.


  • Higher education (min. Bachelor degree);
  • At least 2 years of working experience in event agencies or in the field of executive management administrative support;
  • Experience in organizing events with the participation of top officials, reception of foreign delegations, visa services provision;
  • Experience in the areas of protocol / marketing communications (branding) in large companies;
  • Good knowledge of the Russian and English languages (Polish, Dutch, German and Italian as an advantage).

  • Salary: from 2,700 EUR gross per month (negotiable depending on qualifications and relevant work experience);
